Job description

MAIN PURPOSE
The Repair & Quality Control Administrator is responsible for the accurate processing, tracking, and documentation of repairs and returned stock across multiple sites.

This role ensures that all faulty and repaired items are handled securely, processed in DigiSOL and Syspro correctly, documented in compliance with quality standards, and communicated to relevant stakeholders in a timely manner.

Minimum Requirements

  • Grade 12 / Matric (tertiary qualification in Logistics, Quality Control, or Supply Chain advantageous).

  • 2–3 years' experience in warehouse operations, repairs, or quality control.

  • Strong knowledge of Syspro and DigiSOL systems.

  • High attention to detail and accuracy in data capturing.

  • Strong organizational and communication skills.

  • Ability to work under pressure and meet deadlines.

  • Knowledge of quality standards and compliance requirements.

Key Responsibilities
Receiving and Booking Repairs from Technicians *

  • Receive, count, and inspect all repairs delivered by technicians.

  • Capture repairs accurately in DigiSOL using the correct faulty bin codes.

  • Pack faulty items securely with bubble wrap, ESD protection, and other required materials.

  • Clearly label each box for identification.

Rustenburg Store – Initial Processing

  • Receive, count, and verify goods against waybills in DigiSOL.

  • Accept goods in DigiSOL with correct faulty item codes, quantities, and bin codes.

  • Correct discrepancies and edit waybills as required.

  • Update repair states (Drop off acknowledge, Ready for Collection to Head Office or Ready for TSC).

  • Monitor turnaround times and prioritize waybills with Mluleki (TTSC01) and Zuti (TRTB13).

  • Maintain accurate Repair Tracker records.

System Transfers via Syspro

  • Process transfers from technician bins to the correct warehouse (TTSC01 or TRTB13).

  • Complete and submit stock adjustment forms, ensuring correct bin codes and approvals.

  • Use waybill numbers as transfer references and attach supporting documents in DigiSOL.

  • Update Repair Tracker with transfer numbers.

Delivery to Head Office & Tracking

  • Email TSC with all waybills being sent to Head Office.

  • Prepare stock for Head Office driver, ensuring DigiSOL updates reflect In Transit to Head Office.

  • Ensure goods are verified and acknowledged at Head Office Receiving Bay.

  • Update Repair Tracker with dates, persons responsible, return status, and notes.

Repairs Returned from Head Office

  • Verify returned waybills and ensure they are signed for.

  • Update DigiSOL states (Drop-Off Acknowledged → In Transit Back to Site).

  • Save transfer documents on Admin Drive.

  • Receive and transfer repaired stock in Syspro from TRTB01 to the correct warehouse/technician bin.

  • Update Repair Tracker with transfer data.

Repairs Returned from TRTB13 – Repair Bay

  • Complete return part (RP) transfers from TRTB13 back to relevant sites.

  • Receive RP stock in warehouse and transfer to correct technician bins.

  • Update Repair Tracker with all transfers.

Final Handover and Technician Acceptance

  • Place repaired items into designated cages.

  • Ensure technicians accept repairs in DigiSOL (status updated from In Transit → Completed).

Documentation Control

  • Ensure QC paperwork is accurately completed and meets required standards.

  • Scan, rename (by waybill number), and save QC documents on the M-Drive.

  • Verify that products requiring quality approval have an ATP (Acceptance Test Procedure) signed by Product Specialist and Quality Supervisor.

  • Submit inspection sheets to Head Office (Samantha) timeously and update QC database.

Communication & Reporting

  • Email Samantha with waybills awaiting Data Capture after QC completion.

  • Maintain clear, timely communication with all stakeholders to ensure workflow continuity.

  • Coordinate with Zuti and Gideon on urgent waybills and repair bay priorities.

  • Report equipment repair/maintenance issues or potential production delays to the QC Supervisor.

  • Notify QC Supervisor of delayed or rejected items.

Stock Take

  • Perform physical stock counts and reconcile against system records.

  • Complete stock take forms and scan all records for accurate reconciliation.

Quality Control

  • Verify implementation of corrective actions during final inspection.

  • Ensure required testing equipment (software and hardware) is available and functional.

  • Enforce housekeeping rules in quality labs/areas.

  • Quarantine and notify relevant stakeholders of non-compliant items.

  • Inspect and verify safety units' compliance with regulatory standards.

  • Perform detailed unit inspections, including:

  • Serial/Quadrant mark checks

  • Seal, screw, glue, and cable fitting checks
  • Functional display, LCD, firmware, and safety tests
  • Correct assembly and synchronization

  • Maintain traceability of serial numbers on PC boards.
